Works closely with the executive director of the Program on U.S. – Japan Relations to coordinate the administrative activities of a program for faculty, students, postdoctoral fellows, and associates (visiting scholars and fellows). Coordinates the application process, processes appointments, provides administrative assistance with visas pre- and post-arrival, and orients incoming Associates toward Harvard and surrounding community. Acts as primary liaison between associates and the University. Works with WCFIA finance officers on financial oversight and management of program accounts, including external grants. Prepares program budgets, oversees financial reports, and processes financial transactions. Coordinates a weekly seminar series and other special events. Arranges speakers’ travel schedules, accommodation, presentation needs, audiovisual equipment, and honoraria. Maintains and updates Program’s website, vimeo, YouTube and SoundCloud sites. Provides IT support to associates and seminar speakers. Collaborates with resident staff on building management issues such as renovations, furniture, equipment purchases and maintenance, and shared conference space. Performs other duties as required. Some overtime required.
