Job Description

RIKEN-MIT PROGRAM OPERATIONS COORDINATOR (POC), Picower Institute for Learning and Memory,  to serve as the primary executive assistant to an MIT professor who has dual roles as the director of the RIKEN-MIT Center for Neural Circuit Genetics (RM Center) at MIT and the RIKEN Brain Science Institute (RIKEN-BSI) outside of Tokyo, and provide oversight of laboratory operations.  Responsibilities include serving as liaison between laboratory personnel and the director; managing collaboration between MIT and RIKEN-BSI; overseeing lab and office expenditures; typing drafts of letters, scientific papers, and directories; arranging logistics of visitors; processing reimbursement and travel reports; maintaining the laboratory website; monitoring incoming and typing outgoing emails; managing complex calendar and online appointment schedule; arranging travel; and handling confidential issues and classified information.  RM Center duties include overseeing the activities, operations, and administrative needs of a highly international group and making independent judgments regarding management of the laboratory in the director’s absence.  RIKEN BSI duties include attending meetings and taking notes (in English), contributing to the preparation of meeting minutes, and assisting with the drafting of speeches and official announcements.

Job Requirements

REQUIRED: bachelor’s degree; at least three years’ administrative experience; excellent written and verbal communication skills; English and Japanese fluency; excellent organizational skills; ability to prioritize and reprioritize work in multiple environments and despite conflicting interests; strong SAP, Word, PowerPoint, Excel, and web publishing skills; and ability to synthesize complex information, deal discretely with confidential information, communicate with a highly diverse group of people, and exhibit sensitivity to cultural differences.  Seek detail-oriented, proactive, and reliable individual who can work independently and as part of a team.  Experience working in a Japanese setting preferred.  Job #10993

Must be willing to make overseas business trips several times a year, accompanying director and serving as his primary support.
